Accounts Assistant

As a member of the finance team, the Accounts Assistant will work alongside the Finance Manager and Director of Finance and Governance to deliver day-to-day accounts support in this varied and busy role.

This role will deliver a hands-on approach to maintain the day-to-day finance operations, including purchase and sales ledger processing, reconciliations and credit control, supporting the Finance Manager and Director of Finance and Governance as required. The post holder must be a strong team player, with the ability to build effective relationships with both finance and non-finance colleagues and customers.

·Key Responsibilities

Customer

  • Ensure that all supplier queries are dealt with by the Finance team effectively, achieving the best resolution for the business.
  • Post purchase invoices to the ledger in a timely manner and create the weekly payment run, ensuring suppliers are paid as per agreed terms.
  • Setup of new supplier accounts ensuring the information provided is valid.
  • Raise sales invoices and monitor the customer ledger to ensure appropriate credit control.
  • Monitor the ageing profiles of the company ledgers and ensure that customer and supplier balances are regularly reviewed. Ensure credit control is effectively managed to maximise revenues.
  • Assist with the cash office duties including counting cash takings and posting these to the ledger.
  • Post bank transactions in a timely manner and complete month end reconciliations.
  • Support efficiencies within the Finance function to enable the wider team to deliver exceptional customer service, by ensuring that all processes and procedures are in line with our values and business requirements.
  • Understand external and internal customer requirements within area of responsibility.
  • Assist with the preparation of monthly management accounts for the trading company and the Trust.
  • Adhere to month end timetables.
  • Prepare working papers for the annual accounts and external audit and complete year-end tasks in accordance with the year-end timetable.

Community

  • Develop networks with local customers, suppliers and contacts to benefit the business.
  • Promote the park and community and heritage events to visitors, customers and suppliers where the opportunity to do so arises during day-to-day operations.
  • Support all community and heritage events from a finance perspective.

Collaboration

  • Assist with all finance related queries.
  • Prepare and review on an annual basis, walkthrough procedure notes for all aspects of the role to ensure business continuity.
  • Work flexibly in line with business requirements.
  • Regular review of the working practices to ensure that all activity is focused and meeting the full requirements of the business.
  • Manage time to work and thrive under pressure and maintain accuracy whilst meeting tight and relevant deadlines.
  • Improve processes and controls across the finance function.
  • Maintain proactive and supportive working relationships with all levels of the team within the park.

Team

This role supports the day-to-day finance operations, supporting the Finance Manager as required.

Reports to: Finance Manager

Skills and Qualifications

  • AAT qualified
  • Experience of working within the charity sector is desirable
  • Working knowledge of VAT
  • Ability to successfully adapt to changing demands and conditions within an environment of change and growth.
  • Experience of SAGE accounting software (50 and Intacct) and Microsoft Excel
  • Ability to use initiative and manage own workload through effective time management
  • Ability to prioritise work and meet deadlines whilst maintaining a strong attention to detail and accuracy
  • Effective communication and interpersonal skills with the ability to build strong relationships with colleagues
  • Discretion in handling confidential data
